It is expected that all Sask DLC staff will have a main email signature that contains the information described below. 


Expectations


Required criteria:

  • First and last name (school staff may choose to use an appropriate salutation (Mr, Ms, etc); non-school staff are recommended to use their name only);
  • Title or position;
  • School name (Saskatchewan Distance Learning Centre or Sask DLC);
  • Direct phone number and/or main office line;
  • Sask DLC logo (link);
  • Privacy statement (See below. Please do not make edits to this);
  • Use 11 point Myriad Pro Light font. Only your name and title lines should be bold. The privacy statement should be in italics with 10 point font. If Myriad Pro Light is not available, you may need to add the font by Installing Adobe Creative Cloud.  
  • Email signatures should not include personal slogans/quotes, non-visual identity colours, or links to websites outside the Sask DLC. 

Optional criteria:

  • Campus location or mailing addresses can be included as needed. 
  • Education designations may be included if you choose. Keep in mind what is important for your students/families to know.
  • Microsoft bookings link (if applicable).
  • Emails may include pronouns if you choose (ie She/her, He/Him, They/Them).

Instructions


"Classic" Outlook Windows App

Your main email signature should be on all initial emails but is not recommended for subsequent responses within the same email chain. Instead, a secondary shorter email signature is recommended for replies. These signatures are typically just a name and possibly a phone number, but do not include the logo and privacy statement.


  1. In the Outlook app, start a "New email".
  2. Go to the "Message" tab in the menu bar and select "Signature" from the "Include" group, then "Signatures..." from the drop down menu.



  1. Under the heading "Select signature to edit", click the "New" button.
  2. In the pop up box, enter a name for your default signature.
  3. Type or paste your signature into the text box and use the formatting tools to make it look the way you want it to. Please see the criteria above for the minimum expectations.
  4. When complete, click "Save".



  1. To create your secondary (reply) email, click "New" again.
  2. Enter a different name for your reply signature.
  3. Type your reply signature. You can also paste your standard signature and edit it.
  4. Click "Save" when complete.
  5. Below the text box, select your standard signature next to "New messages:".
  6. Select your reply signature from the drop down menu beside "Replies/forwards:".
  7. Click the "OK" button.



New Outlook Windows App and Outlook Web App


In the new version of Microsoft Outlook, the process is the same in both the Windows app and in the web version. Also, setting up signatures in one version will sync to the other, so it is only necessary to set up your signatures in one or the other. 


  1. Open the new Microsoft 365 Outlook app or go to the Microsoft 365 Outlook web app.
  2. Near the top right, click on the gear icon.


  1. Select "Accounts", then "Signatures".
  2. Select "+ New signature" and give your signature a name. 
  3. Type or paste the signature into the text box and format it as specified.
  4. Repeat the process above to create a signature for replies.
  5. Under "Select default signatures", choose your standard signature from the drop down list next to "For New Messages:" and select your reply signature from the drop down list beside "For Replies/Forwards:".
  6. Click "Save".
