Step 01: Open Outlook 

Open Microsoft Outlook on your computer. 

 

 

 

Step 02: Open the File Menu 

Click File from the ribbon menu at the top of Microsoft Outlook. 


 

 

 

 

 

 

Step 03: Open Outlook Options 

From the File menu, click Options. 


 

 

 

 


Step 04Open the Mail Options 

In the window that opens, click Mail form the menu on the left. 


 

 

 


 

Step 05Open the Signatures Folder 

On your keyboard hold down the CTRL key and click Signatures… 


 

 

 

 

 

Step 06Copy Signatures 

In the window that opens, you will find a copy of all signatures you created in Microsoft Outlook. On your keyboard, click CTRL+A to select all signature files, then click CTRL+C to make a copy of them. 


 

 

 

 


Note: If you only want to backup certain signatures, simply look for that signature by name and copy the files associated with it. Each signature has a folder, a .htm file, a rich text file, and a text file. Make sure you copy all parts to your signature if you are only copying select signatures. 



Step 07Store the Copied Signatures 

On a USB stick, cloud storage, or U Drive, you will need to create a signatures folder for your backup signatures. In this folder, click CTRL+V to paste the signatures you copied in the previous step. Close all unneeded windows. 

 

 

 

Step 08Restore Signatures 

To restore your signatures on your new computer or on a freshly reimaged computer, begin by installing Microsoft Outlook. Once Microsoft Outlook is installed, open the folder you stored your signatures in from Step 07. Click CTRL+A, then CTRL+C to copy your stored signatures. 


In Microsoft Outlook, repeat Steps 01 to 05 to open the Signatures folder. Once the signatures folder is open, click CTRL+V to paste your signatures. Close all unneeded windows. 


You will find that your signatures have been restored to Microsoft Outlook. 

 

 

 

 

 

 

 


 

Alternative Route 

Instead of following Steps 01 to 05, you can open File Explorer in Windows. 

 

 

Once you open File Explorer, paste following address in the address bar %appdata%\Microsoft\Signatures\ 

then click Enter on your keyboard.  


 

 

 

 

 

From this point, follow Step 06 onward to complete backing-up your signatures.
